Notifications
Greetio tells you when something needs you — a guest writes, the AI has a draft ready, a conversation is escalated, a payment comes in. You can follow that in the app, get a push notification on your computer or phone, and send escalations and tasks to Telegram.
| Where | Who it is for |
|---|---|
| The bell in the header and the Notifications page | Everyone on the team, inside Greetio |
| Browser push notifications | You, on each device where you turn them on |
| Telegram Alerts | A Telegram group or personal chat that should hear about escalations |
| The task bot in Telegram | Department contacts who receive tasks |
Follow notifications in Greetio
The bell in the header shows a red badge with the number of unread notifications, up to 99+. Click it for the latest ten, Mark all read, or View all notifications.
The full list is at /notifications. Switch between All and Unread, and use Mark all read to clear the badge in one go. Clicking a notification marks it read and opens what it is about — usually the conversation. New notifications appear without reloading the page.
What you can receive:
| Notification | When |
|---|---|
| Guest message | A guest sends a new message |
| AI reply | The AI answered a guest on your behalf |
| AI draft ready | A draft is waiting for review |
| Escalation | A conversation is escalated |
| Service booking request | A guest asks for a service that staff must confirm |
| Payment | A payment is received, fails, is refunded, is put on hold or expires |
| Channel token expired | A messenger connection stopped working; reconnect it in Channels settings |
Turn on push notifications
Push notifications reach you when Greetio is not the tab you are looking at, or not open at all. They are set up per device and per browser. Open /settings/notifications, or Settings → Notifications.
- Press Enable browser notifications.
- Allow notifications when the browser asks.
- The button is replaced by Enabled on this device.
Disable on this device turns them off again for that browser only. If you once refused the browser's request, the page says notifications are blocked — allow them for the site in the browser settings.
Even when the browser allows notifications, the operating system can still mute them. On macOS check System Settings → Notifications → your browser; on Windows, Settings → System → Notifications → your browser.
Until push is enabled on a device, Greetio shows a Turn on browser notifications banner at the top of the screen with Enable and Dismiss. A dismissed banner stays away for a week.
On iPhone and iPad
Push notifications work only when Greetio is added to the Home Screen and opened from there. The settings page shows Add Greetio to your Home Screen with the steps:
- In Safari, tap the Share button.
- Choose "Add to Home Screen".
- Open Greetio from the new icon and enable notifications on the settings page.
Choose what to be told about
When should we notify you? decides which events send a push. The choice belongs to your account.
| Switch | On by default |
|---|---|
| Guest messages | Yes |
| AI replies | No |
| AI drafts | Yes |
| Escalations | Yes |
| Service booking requests | Yes |
| Payments | Yes |
Show notifications even when Greetio is open is off by default: while the Greetio tab is in front of you, the system pop-up is not shown. Turn it on to get the pop-up every time.
Which conversations? narrows the conversation events:
- My conversations — chats assigned to you, plus unassigned chats if you are the property owner;
- Every conversation — every conversation in the property.
Send escalations to Telegram
The Telegram Alerts section on the Channels settings page connects a Telegram chat that receives a message whenever a conversation is escalated. Choose one of:
- Add to Group — Telegram opens and adds the Greetio notification bot to a group of your choice;
- Message Me Personally — the bot writes to you in a private chat;
- manually — open the bot shown on the card and send it the
/connectcommand with the code shown under the buttons, from the chat that should receive alerts. The copy button next to the command copies it whole.
Connected chats are listed with the date they were connected; Disconnect stops the alerts. Setting up channels is described in Channels.
Task notifications in Telegram
Department contacts get their tasks from a separate Greetio bot. The link that connects them comes from the department's Contacts tab — see Team and roles.
Once a contact has opened their invite link and pressed Start, the bot confirms the connection and from then on:
- sends a message when a task is assigned to them, changed, taken away or deleted, with its description, department, status, priority and due date;
- puts To do, In progress and Done buttons under the task, so the status can be changed straight from Telegram;
- shows the task's checklist, and each item can be ticked off from the chat;
- sends a short summary when their shift starts: how many tasks are waiting and how many are in progress;
- lists their latest tasks on See my tasks or the
/taskscommand — tap a task to see its details.
If one Telegram account is linked to several department contacts, the bot first asks whose tasks to show. When a contact or their department is deleted, the bot tells them that access has ended. The bot writes in the language of the person's Telegram app.
Current limits
- No email notifications. Notifications appear in the app, as push and in Telegram only.
- iPhone and iPad need the Home Screen app for push notifications.
- The task list in Telegram shows the ten most recently updated tasks, without paging.
